I was asked to let y'all in on some of the things we did to put on the ACA convention this past summer.
First it's a lot of work and not cheap to do. You must have enough volunteers you can count on to do the work!
You can get donation from manufactors that will help with the cost.
Plan well in advance, at least a year.
Here is what we did, as a National sacntioned show having the ACA folks attend paid for everything, but here is a lot of up front money. If you are having a show that will attract out of town guest then a hotel will give you the space for free as long as you meet a required number of nights stay in the hotel.
The ACA convention lasted from Thursday until Sunday, we needed 680 room nights to get all the meeting space for free, We had over 1200 room nights and filled up the Hilton in Atlanta to the max!!
If it is a local show then you will have to rent the space.
Tanks were bought at below wholesale and we advertised the manufacter (Allglass) thruout the show for the great discount they gave. Fish are shown in 10 gallon tanks, The show patrion has to provide their own heaters and water conditioners. They are responsible for getting their fish to and from the show. I pack them just like I would ship them to a customer and usually drive to any show I attend. The tanks were filled with local tap water and dechloranated 24 hours before the first fish were placed in the tanks.
The showroom had specific hours and was locked when not being viewed. Lights were left on the entire show to avoid scareing the fish and causing injury or jumpers.
Participants are responsible for water changes, feeding (not recommended!!) and removing their fish at the prescribed time, Anything left after that time is auctioned off (and suprisingly more fish are abandoned than you would think!)
To defray the cost of putting on the show, you need to have speakers and charge to hear them and a Sunday auction (which basically pays for everything!)
Use your speakers paired with a local club member as judges. Trophies are expensive. You can not pay for a show with just the entry fees, you must have manufactor sponsors and have an auction or it won't work.

These are his questions to me....

What I wanted to learn,were the requirements to organise a succesful discus show(to be frank,we would like to begin with a 'general' aquatic show,then move on to specialist discus shows as interest picks up)
How do I go about it?
1.What arrangements need to be made for the show hall,the water,and how do we decide on what parameters to maintain regarding water.(Discus keepers are always disagreeing with each other on the ideal water conditions required!!)
2.How long do we need to book the show hall?(I guess the participants will need time to get their fish acclimatised)3.How do we travel from one city to another with our valuable fish(we probably need to instruct the participants on the correct method of transportation and acclimatisation procedures)
4.Judges?
